Job Description

IMPORTANT NOTES – PLEASE READ:

1 – This is a FULLY ONSITE position. Only submit LOCAL candidates who are willing to work fully onsite, 40 hours/week in these roles.
2 – Candidates must be willing and able to go to the client location for an ONSITE, IN-PERSON interview if selected for interview.
3 – In addition to the experience/skills required, candidates must have the physical ability to lift full banker’s boxes (approximately 35 pounds).
4 – Candidates should have some previous data entry experience specifically working with the data types contained in engineering plans, applications, and permits. Please make sure they actually have this experience prior to submitting them for the position.

The person in this role will lead a team of 3 Data Entry/Administrative Specialists working to digitize paper records.

Accountabilities:
• Familiar with standard concepts, practices, and procedures.
• Relies on limited experience and judgment to plan and accomplish goals. Certain degree of creativity and latitude is required.
•Work with vendor to establish best practices and communicate issues.
• Write and maintain standard operating procedures that can be followed by team members.
• Managing one’s own time and the time of others with limited supervision.
• Train and coach team members on best practices.
• Use Excel to run reports and maintain inventory.
• Locate and correct data entry errors or report them to supervisors.
• Maintain logs of activities and completed work.
• Compile, sort, and verify the accuracy of data before it is entered.
• Compare data with source documents, or re-enter data in verification format to detect errors.
• Store completed documents in appropriate locations.
• Select materials needed to complete work assignments.
• Read source documents such as plans, applications, and paper files, and enter data in specific data fields,
using keyboards or scanners.
• Download data from the web and import to custom database user interface software.
• Resolve unclear or poorly visible information by communicating with others.
• Work with Vendor to coordinate pick-up and drop-off schedules.

Responsibilities and required skills

Experience with data types contained in engineering plans, applications and permits (6 years)
Experience supervising the work of office/admin/customer service employees to ensure adherence to quality standards, deadlines, & procedures (1 years)
Experience providing employees with guidance in handling difficult or complex problems. (1 years)
Experience writing procedures and training others (5 years)
Experience compiling, coding, categorizing, calculating, tabulating, auditing, or verifying information or data. (5 years)
Experience providing information to supervisors, co-workers, and vendors by telephone, in written form, e-mail, or in person. (5 years)
Professional experience in an administrative/data entry role performing the duties as described in the job description. (5 years)
Experience converting Word to PDF, binding multiple PDFs into one, redacting text, and highlighting in Adobe Acrobat Professional (1 years)
Experience using logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions, or approaches to problems (5 years)
Microsoft Office products (e.g., Word, Excel, Outlook) (5 years)
Ability to lift a full banker's box (approximately 35 pounds) (0 years)
